Room App 

The Board Room App is Millennia Ministries’ centralized communication and engagement app designed specifically for its Board of Directors. It gives Board members one place to receive real-time ministry updates, view events, access prayer requests, communicate with one another through chat, learn about current ministry needs, and support giving opportunities. The app is designed to keep Board members informed, connected, and actively engaged in the mission, leadership, and ongoing work of Millennia Ministries.

Privacy Policy for The Board Room

Millennia Ministries respects the privacy of our Board members, ministry partners, supporters, and others who interact with The Board Room mobile application.

The Board Room is a communication and engagement platform created for Millennia Ministries and designed primarily to help members of the Millennia Ministries Board of Directors remain informed, connected, prayerful, and actively engaged in the mission and work of the ministry.

The Board Room is developed and operated using the Wix native mobile app platform and related Wix services. Wix.com Ltd. and its affiliated companies provide hosting, application infrastructure, member-account functionality, communications tools, and other technology used to operate the application.

This Privacy Policy explains what information may be collected through The Board Room, how that information may be used or shared, how it is protected and retained, and the choices available to users.

1. Information We May Collect

Depending on how you use The Board Room and which features are enabled, we may collect the following categories of information.

Account and Contact Information

This may include:

  • Name

  • Email address

  • Phone number

  • Board position, title, or role

  • Profile information

  • Account credentials or authentication information

  • Membership status

  • Other information voluntarily provided when creating or managing an account

Communications and User-Generated Content

This may include:

  • Chat messages

  • Comments

  • Responses to ministry announcements or updates

  • Prayer requests

  • Ministry needs or requests

  • Event responses

  • Information voluntarily submitted through forms

  • Other content users choose to share within The Board Room

Event Information

When users register for, respond to, or interact with an event, we may collect information such as:

  • Name

  • Contact information

  • RSVP status

  • Event participation

  • Other information voluntarily provided in connection with an event

Donation Information

When users make or facilitate a donation, Millennia Ministries may receive information such as:

  • Donor name

  • Contact information

  • Donation amount

  • Donation date

  • Transaction or receipt information

Complete payment-card or banking credentials may be processed directly by Wix Payments or another applicable payment processor rather than stored directly by Millennia Ministries.

Device, App, and Technical Information

Wix and other technology providers supporting The Board Room may process certain technical information necessary to provide, secure, maintain, and improve the application.

Depending on enabled features, this information may include:

  • IP address

  • Device type

  • Operating system

  • Browser or app information

  • Device or app identifiers

  • Login and authentication activity

  • App interactions and usage information

  • Diagnostic, performance, or crash information

  • Security-related information

  • Push-notification identifiers or preferences

We intend to collect only information that is reasonably necessary to provide and operate The Board Room and support legitimate ministry and organizational activities.

2. How We Collect Information

Information may be collected:

  • Directly from you when you create or update an account

  • When you submit a form

  • When you post or respond to a message

  • When you communicate through chat

  • When you submit or respond to a prayer request

  • When you register for or respond to an event

  • When you make a donation

  • When you interact with ministry announcements or updates

  • Automatically through Wix and other technology used to operate the application

3. How We Use Information

Millennia Ministries may use information collected through The Board Room to:

  • Create and manage user accounts

  • Verify Board-member or authorized-user access

  • Provide access to app features

  • Deliver ministry and organizational updates

  • Communicate important information

  • Facilitate communication between Board members

  • Share prayer requests

  • Coordinate Board participation and engagement

  • Communicate ministry needs

  • Manage events, meetings, and activities

  • Facilitate donations and giving opportunities

  • Respond to questions or concerns

  • Provide customer or technical support

  • Maintain application security

  • Prevent unauthorized access or misuse

  • Improve the operation and functionality of the application

  • Maintain organizational, administrative, financial, or governance records

  • Comply with legal or regulatory obligations

Millennia Ministries does not sell personal information collected through The Board Room.

4. Board Communications and Chat

The Board Room may include chat, discussion, commenting, or other communication features.

Information posted within shared Board communication areas may be visible to other authorized users.

Users should exercise good judgment when posting information through these features.

The availability of a communication feature does not mean that all information is appropriate for that feature. Highly sensitive personnel, legal, client, financial, case-management, or other confidential information should only be shared through channels specifically authorized by Millennia Ministries.

5. Prayer Requests and Sensitive Information

The Board Room may allow authorized users to submit, receive, or respond to prayer requests.

Prayer requests can contain highly personal information, including information relating to:

  • Health

  • Family situations

  • Financial hardship

  • Housing instability

  • Personal crises

  • Ministry participants

  • Children or families

  • Other private circumstances

Users should exercise particular care when sharing this information.

Do not disclose sensitive information about another person unless you have appropriate authorization, consent, or a legitimate ministry reason to do so.

Prayer requests made available to authorized Board members are intended for prayer and appropriate ministry purposes and should be treated with care, dignity, and confidentiality.

6. Donations and Payment Processing

The Board Room may provide opportunities for users to donate to Millennia Ministries or share donation opportunities with others.

Payments may be processed using Wix Payments or another third-party payment provider.

Payment processors may independently collect and process information necessary to complete financial transactions.

Their handling of information is governed by their own privacy notices, security practices, and terms.

Millennia Ministries may retain transaction-related information necessary for:

  • Donation acknowledgment

  • Receipts

  • Financial accounting

  • Tax reporting

  • Auditing

  • Legal compliance

  • Donor relations

7. Wix and Other Service Providers

The Board Room uses Wix technology and may use additional service providers to operate certain features.

These providers may process information on behalf of Millennia Ministries for purposes such as:

  • Hosting

  • Application functionality

  • Member authentication

  • Database management

  • Communications

  • Push notifications

  • Payment processing

  • Security

  • Technical support

  • Analytics or application performance

Third-party providers are subject to their own privacy policies and terms.

Millennia Ministries seeks to use service providers that provide appropriate safeguards for personal information.

8. Apple and Google Services

The Board Room may be distributed through the Apple App Store and Google Play.

Apple and Google may independently collect information relating to app downloads, device information, store activity, crash reporting, account authentication, or other interactions with their platforms.

Their collection and use of information is governed by their own privacy policies and is separate from Millennia Ministries' handling of information through The Board Room.

If users choose to authenticate using an Apple, Google, or other third-party sign-in service, that service may process information necessary to authenticate the user.

9. Push Notifications

The Board Room may use push notifications to provide:

  • Ministry updates

  • Board communications

  • Event information

  • Prayer requests

  • Reminders

  • Other important notices

Users may manage push-notification permissions through their device settings or available application settings.

Disabling push notifications may prevent users from receiving certain timely alerts but will not necessarily prevent access to other application features.

10. Cookies and Similar Technologies

Certain Wix services and web-based portions of The Board Room may use cookies, local storage, or similar technologies.

These technologies may support:

  • Authentication

  • Security

  • Preferences

  • Application functionality

  • Performance

  • Analytics

  • Session management

Where legally required and technically applicable, users may be given options to manage cookie or tracking preferences.

11. How Information May Be Shared

Millennia Ministries may share information when reasonably necessary with:

  • Authorized Millennia Ministries staff

  • Authorized organizational leadership

  • Authorized Board members

  • Wix

  • Payment processors

  • Hosting or technology providers

  • Communication service providers

  • Security or technical support providers

  • Professional advisors such as attorneys or accountants

  • Government agencies, courts, or law enforcement when legally required

Information may also be disclosed when reasonably necessary to protect:

  • Millennia Ministries

  • The Board Room

  • Users of the application

  • Ministry participants

  • Legal rights or property

  • Personal safety

Millennia Ministries does not sell Board-member information for commercial advertising purposes.

12. Information Security

Millennia Ministries takes reasonable organizational and technical measures to protect information entrusted to us.

Wix and other technology providers used by The Board Room also maintain their own security systems and practices.

However, no internet transmission, mobile application, electronic communication system, or data-storage system can guarantee absolute security.

Users are responsible for protecting their own account credentials.

Users should:

  • Use strong passwords

  • Keep login credentials confidential

  • Avoid sharing accounts

  • Sign out of shared devices

  • Protect devices used to access confidential Board information

  • Promptly report suspected unauthorized access

Suspected security incidents should be reported to Millennia Ministries as soon as possible.

13. Information Retention

Millennia Ministries retains information only for as long as reasonably necessary to fulfill legitimate organizational purposes, including:

  • Operating The Board Room

  • Maintaining Board and governance records

  • Financial and donation recordkeeping

  • Ministry administration

  • Legal compliance

  • Grant or reporting requirements

  • Resolving disputes

  • Security

  • Historical organizational records

Different categories of information may be retained for different periods.

Certain records may need to be retained even after an account is deleted when required by law or legitimate organizational obligations.

Information that is no longer reasonably necessary may be deleted, anonymized, or securely disposed of in accordance with applicable practices.

14. Account and Data Deletion

Users may request deletion of their The Board Room account and associated personal information.

Where account creation is available through the application, The Board Room will provide users with a way to initiate an account-deletion request through the application.

When an account-deletion request is verified, Millennia Ministries will take reasonable steps to delete or direct the deletion of personal information associated with that account unless retention is required or permitted for legitimate legal, financial, governance, security, or organizational purposes.

Information that must be retained will be limited to the information necessary for that purpose.

Deleting an account may permanently remove access to The Board Room and its Board-member features.

15. Privacy Choices and Requests

Depending on applicable law and the nature of the information involved, users may request to:

  • Access certain personal information

  • Correct inaccurate information

  • Update account information

  • Delete certain personal information

  • Delete their account

  • Ask questions regarding the use of their information

  • Change certain communication preferences

  • Manage push-notification permissions

We may take reasonable steps to verify the identity of a person submitting a privacy or deletion request.

16. Children's Privacy

The Board Room is designed primarily for Millennia Ministries Board members and authorized adult users.

The app is not intended for use by children and is not designed to knowingly collect personal information directly from children.

Because Millennia Ministries serves youth and families, authorized users may occasionally encounter information relating to minors in legitimate ministry communications.

Such information should be shared only when appropriate and with particular attention to confidentiality, dignity, and privacy.

17. Confidential Ministry Information

The Board Room may contain confidential or nonpublic information regarding:

  • Millennia Ministries

  • Board activities

  • Staff

  • Programs

  • Partnerships

  • Finances

  • Families

  • Clients or participants

  • Prayer needs

  • Organizational plans

  • Community needs

Access to information through The Board Room does not authorize a user to disclose that information outside its intended context.

Board members must continue to comply with all applicable Millennia Ministries confidentiality policies, ethical requirements, governance responsibilities, and fiduciary duties.

18. Third-Party Links

The Board Room may provide links to third-party websites, donation services, event pages, resources, or other external services.

Millennia Ministries does not control the privacy practices of those services.

Users should review the privacy policies of external services before providing personal information.

19. Changes to This Privacy Policy

Millennia Ministries may update this Privacy Policy as:

  • The Board Room develops

  • New features are introduced

  • Technology providers change

  • Legal requirements change

  • Organizational practices change

The updated policy will display a revised "Last Updated" date.

Material changes may also be communicated through the app or other appropriate channels.
